teckel: GDPR & Privacy Policy
GDPR & Privacy Policy
Contents
We value your privacy and are committed to protecting your personal data. This page explains how we collect, use and safeguard your information when you visit the teckel Website or use the teckel App. By using our Website or the App, you agree to what is set out on this page.
Data Collection
We collect personal data when you give it to us through this website:
- the contact form (name, e-mail address, company and your message), and the support and report-abuse forms (name, e-mail address, phone number and your message);
- the newsletter sign-up (first name, surname, e-mail address, company, country, phone number, interests and your marketing choices);
- booking a call on our scheduling page (your name, e-mail address and the booking details);
- the affiliate forms (name, e-mail address, phone number, organisation, your message, the choices the form offers and, where a form asks for one, a code);
- the forms on our wizard page (e-mail address, account address, practice name, CQC registration number and a promo code, depending on the form);
- the e-mail preferences page (your e-mail address and the choices you make);
- our merchandise store (your name, billing and delivery addresses, e-mail address and phone number, any note you add to the order, and the order itself);
- Ethera, the assistant on our home page, if you choose to talk or type to her (what you say or type in the conversation).
We also receive some information automatically: our web server keeps standard access logs (IP address, browser, pages requested and the referring page) to keep the website secure and to limit abuse; the host rotates them monthly and we delete the archives after twelve months; a cookieless page-view counter from Cloudflare runs on our pages; and our website analytics (Google Analytics) sets its cookies only if you accept analytics cookies in our cookie banner, and without that consent receives only cookieless page-view signals.
The teckel App sends what you type or say to the AI provider you choose, and only after asking you. That is described in The teckel App below.
Data Use
We use this data to answer your enquiries and support requests; to arrange the calls you book; to take, pay for and deliver store orders; to handle affiliate applications, affiliate statement requests and promo code requests; to keep our customer records up to date; to send the newsletter and marketing e-mail when you have agreed to it; to review conversations with Ethera so that we can check and improve her answers; and to keep the website secure.
Why we may use your data
We use your data because it is needed for a contract or a service you asked for (store orders, bookings, Benedict and the teckel App); because you consented (the newsletter and marketing e-mail, analytics cookies, and the AI providers you choose in the App); because we have a legitimate interest that does not override your rights (keeping the website secure, preventing abuse, and checking and improving Ethera’s answers); or because the law requires it (for example keeping tax and accounting records).
Ethera, the assistant on our home page
Ethera is an AI assistant that runs on ElevenLabs. If you talk or type to her, ElevenLabs keeps a transcript of the conversation, and a recording if you speak, and deletes them after 90 days. Our team receives the transcripts and reads them to check and improve her answers. Please do not share patient information or other sensitive personal details with Ethera.
Marketing e-mail
We send marketing e-mail through Zoho Campaigns. When you click a link in one of those e-mails, we record that you clicked it, which link it was, and when, so that we can see which content is useful; that record is linked to your e-mail address. We do not track whether you open our e-mails. Open tracking is switched off in our sending platform, so there is no invisible image counting who read what. Links in our marketing e-mail carry a campaign tag in the web address so that our website analytics can group those visits together; that analytics sets its cookies only with your cookie consent, and without it receives only cookieless signals. We rely on your consent for all of this, and you can withdraw it at any time using the unsubscribe link in any marketing e-mail or at teckel.io/email-preferences/. Click records are kept at teckel’s discretion, for as long as the campaign reporting remains useful to us. We do not use any of this to build advertising profiles.
The teckel App
The teckel App runs on your phone and keeps your account key on your device. Its AI features send data away from your phone only when you use them, and only after the App has asked you. This section says what is sent, who receives it, and what never leaves your phone. The teckel App is for people aged 18 and over.
What the App sends, and to whom
- Typed chat. The message you type, the recent messages in that conversation (so the model can follow the thread) and the model settings you chose are sent to the AI provider you picked in the App: Google (Gemini), OpenAI (ChatGPT) or Anthropic (Claude).
- Voice conversations. The audio recorded from your microphone while you speak, and the text transcript made from it, are sent to ElevenLabs, which runs the voice assistant and turns your speech into text, and to the AI model powering that assistant, which may be Google (Gemini), OpenAI (ChatGPT) or Anthropic (Claude) — the same names the App shows you on its voice screen.
The only purpose is to answer you. The App works with these providers and no others.
Permission first
This part applies to the teckel App version 2.0.6 and later.
Before anything is sent, the App shows you exactly what will be sent and to which companies, and asks for your permission. If you decline, nothing is sent. Your answer is remembered, and the App asks again if the list of companies ever changes. The microphone is requested only when you start a voice conversation, not before.
What the App never sends or does
- Your account address, your contacts, your files and your location are never sent to an AI provider.
- The App contains no analytics, crash-reporting, advertising or tracking software.
- The App does not analyse your documents: document analysis happens on your practice’s own teckel website, not in the App. (The App’s own file-upload tool stores what you choose to upload on IPFS, and only if you ask it to.)
- Your private key stays on your device. The only copy that ever reaches teckel is the optional backup, which is encrypted on your device with a passphrase only you know: we hold something we cannot read, and we cannot recover the passphrase for you.
- We never see your card details. Apple or Google take the payment and tell us only that a purchase happened and how many credits to add.
The optional backup
If you back up an account (Accounts → Migrate account), the backup is kept by our infrastructure partner that runs Benedict and teckel accounts. It holds:
- the account’s private key, encrypted on your device with your passphrase, so we cannot read it;
- the e-mail address you give, the account address, and the dates the backup was made and last updated, which we can read.
We use the e-mail address to confirm to you that the backup was stored, and to send you a one-time code when you restore the account. Both are sent through Zoho, and each code is stored with the e-mail address it was sent to. Nothing about your device is stored.
What each provider keeps, and for how long
- Google (Gemini), OpenAI (ChatGPT) and Anthropic (Claude) — used through their business APIs rather than their consumer products.
- ElevenLabs — runs the voice assistant, and receives the recorded audio and the transcript made from it.
We are obtaining written confirmation from each of these companies of how long they keep what is sent to them, and whether they use it to train their models. We will publish each answer here as soon as we have it. Until then we do not state a period we cannot yet stand behind.
Cookies
Our Website uses cookies to enhance your browsing experience and ensure the Website functions correctly. Cookies are small text files stored on your device that help us improve our site and provide relevant content.
You can control or disable cookies through your browser settings. Please note that disabling essential cookies may affect the functionality of the Website.
You can accept, reject or customise non-essential cookies in our cookie banner. You can change your choice at any time with the Cookie settings link at the bottom of our pages.
Data Protection
We take appropriate security measures to protect your personal data and ensure it is not misused, altered, or disclosed to unauthorized parties.
How Long We Keep Your Data
We keep personal data for as long as we need it for the purpose we collected it, and no longer than the law allows: messages and support requests for as long as we need to deal with them and for our records; newsletter and marketing details until you unsubscribe, after which we keep only what is needed to honour your choice; order and booking records for as long as tax and accounting law requires; Ethera recordings and transcripts for 90 days; web-server access logs for twelve months; and what the App sends to AI providers, for as long as each provider’s own terms allow, as described above.
We keep App data, Benedict records and conversation transcripts for as long as the account is in use. We are building the deletion process that will apply fixed periods to these, and we will publish those periods here once it is in place.
Your Rights
Under data-protection law, you can ask us for a copy of your data, to correct or delete it, to limit or object to how we use it, and to move it to another provider. You can withdraw a consent at any time, which does not affect what was done before you withdrew it. Contact us at teckel.io/contact, and you can change or stop marketing e-mail at teckel.io/email-preferences/. If you are unhappy with our answer, you can complain to the Isle of Man Information Commissioner or, if you are in the UK or the EU, to your local data-protection authority.
Some things cannot be deleted, or not at once: anything written to the Ethereum blockchain stays there permanently; content stored on IPFS cannot be edited, and we cannot guarantee that every copy of it is ever deleted; copies in our backups are removed on the backup cycle rather than at once; and we keep what the law requires us to keep, such as tax records, after a deletion request.
Third-Party Sharing
We do not sell your personal data. We share it with the service providers we use to run this website and our services, and with courts, regulators or law enforcement where the law requires or allows it and to protect our rights, our users or the public:
- Rocket.net — website hosting;
- Cloudflare — the network that delivers our pages, and a cookieless page-view counter;
- Google — Google Analytics and Google Tag Manager (analytics cookies only with your consent), and YouTube for the videos embedded on some pages (privacy-enhanced mode);
- CookieYes — our cookie banner;
- Zoho (EU data centre) — e-mail, our customer records and the newsletter;
- ElevenLabs — Ethera, the assistant on our home page: speech recognition, her voice, the AI model that answers (hosted by ElevenLabs), and the recordings and transcripts of her conversations, which ElevenLabs deletes after 90 days;
- Anthropic, Google and OpenAI — backup AI models for Ethera, used only if the model hosted by ElevenLabs does not respond in time;
- Google (Gemini), OpenAI (ChatGPT) and Anthropic (Claude) — the AI providers you can choose for typed chat in the teckel App, and ElevenLabs — the App’s voice assistant; each only after you have given the App permission (see The teckel App);
- PayPal and Printful — store payments and order fulfilment (our store services are managed by our affiliate Risk Logical Limited);
- Google Calendar and Google Meet — call bookings and meeting links;
- Telegram — notifying our team of new bookings and affiliate applications;
- our infrastructure partner that runs Benedict and teckel accounts — e-mail preferences, Benedict link recovery, affiliate applications and statements, and the teckel App’s optional backup.
Where your data goes
Some of these providers process data outside the UK, the Isle of Man and the EU, mostly in the United States. We are confirming, for each one, which transfer safeguard its signed agreement relies on, and will name it here once we have read it. If teckel is sold, merged or reorganised, your data may pass to the new owner under this policy.
